First Sorting Appointment

Scope: sorting & labelling only — no reading for meaning, no drafting, no submission

A two-hour appointment for families at the point when the task feels shapeless. Papers are separated into agreed categories, boxed and labelled. A one-page contents sheet and a list of items that appear to be missing are produced — so you can see the whole set and know which offices to approach for replacements.

Institutional Records Pack Preparation

Scope: sorting, scanning & indexing only — checklist is general information, not a statement of specific requirements

A project that prepares the tidy, well-ordered document pack institutions typically ask families to produce. Includes a general checklist of commonly requested documents, sorting of your own papers against it, 600dpi clean scans, a written contents index, consistent file naming, and both a printed folder and an encrypted digital copy held by the family. Typical duration: three to four weeks.

Records Continuity Programme

Scope: archival and administrative only — drafting, witnessing and dealings with institutions are outside scope

A twelve-month programme keeping your family's records ordered through four scheduled reviews. Includes the First Sorting Appointment, the Institutional Records Pack, a maintained storage map, reissue of the contents index after each review, secure destruction of superseded duplicates, and a written handover pack so a second family member can take custody at short notice.

Frequently asked questions

What exactly does Archivum do — and not do?

We sort, label, scan and index physical and digital documents. We produce contents sheets, storage maps and well-named file sets. We do not read documents for legal meaning, draft, interpret, certify, witness or submit any documents, and we do not conduct dealings with any institution on a family's behalf. Items requiring professional input are noted and referred to the appropriate type of qualified professional in writing.

Do I need to have all the documents before we start?

No. Part of what the First Sorting Appointment produces is a list of items that appear to be missing from a sequence, along with which office issues each of them. Many families come to us precisely because they are not sure what they have and what they still need to obtain.

How long does each service take?

The First Sorting Appointment is two hours. The Institutional Records Pack Preparation typically takes three to four weeks depending on the volume and condition of the papers. The Records Continuity Programme runs for twelve months with four scheduled reviews during that period.

Can you help if we are still planning — not in a bereavement situation?

Yes. Some families engage us well in advance to bring order to papers while there is time to do it carefully. The Records Continuity Programme is particularly suited to families who want to keep records current over a number of years so that whenever the need arises, the set is already organised.

What is included in the Institutional Records Pack checklist?

The checklist covers categories of documents that institutions commonly ask families to produce. It is general information, not a statement of what any particular family is required to provide — requirements differ by institution and by individual circumstances. We sort your papers against the checklist and note clearly which items you have and which appear to be absent.

Where do the digital copies go after scanning?

The encrypted digital copy is held by the family. Archivum does not retain copies of your documents after a project is complete. The physical papers remain in your custody throughout and are returned in their labelled boxes at the end of the appointment.

What are the fees and how do we pay?

The First Sorting Appointment is RM 500. The Institutional Records Pack Preparation is RM 1,980 per project. The Records Continuity Programme is RM 4,350 for twelve months.
