Our Approach

How we work through every engagement

All three services follow the same underlying method: sort first, then label, then produce a written record of what is present and what is absent. The scope of any professional input that the documents may require is noted in writing and referred to the appropriate qualified professional. Nothing is read for legal meaning, drafted, assessed, witnessed or submitted.

Before any work begins, the family receives a written scope note stating what the appointment covers. At the end, they receive the physical set in labelled boxes, a contents sheet, and — in the case of the Records Pack and the Continuity Programme — an encrypted digital copy.

The three services are designed to be used in sequence if the family's needs grow over time. A family that starts with the First Sorting Appointment has already completed the first step of the Records Continuity Programme.

Service 01

First Sorting Appointment

Scope: sorting and labelling only — no reading for meaning, no drafting, no submission

A two-hour appointment for families at the point when the task feels shapeless. Papers are separated into agreed categories, boxed and labelled. A one-page contents sheet is produced so the family can see the whole set at a glance. A separate list records which items appear to be missing from a sequence and which office issues each of them, leaving the family free to make those requests themselves.

The appointment covers sorting and labelling only. Nothing is read for meaning, drafted, assessed, witnessed or submitted, and items calling for professional input are noted with the type of qualified professional who handles them.

Institutional Records Pack Preparation

Scope: sorting, scanning and indexing only — checklist is general information, not a statement of any specific requirement

A project preparing the tidy, well-ordered document pack that institutions typically ask a family to produce. Includes a general checklist of documents commonly requested, sorting of the family's own papers against it, clean scans at 600dpi, a written contents index, consistent file naming, and both a printed folder and an encrypted digital copy held by the family.

The checklist is general information and is not a statement of any requirement applying to a particular family, since requirements differ by institution and by circumstance. No document is drafted, interpreted, certified, witnessed or submitted, and no dealings are conducted with any institution on the family's behalf. Typical duration is three to four weeks.

Service 03

Records Continuity Programme

Scope: archival and administrative only — drafting, witnessing, certification, filing and dealings with institutions are outside scope

A twelve-month programme keeping a family's records ordered as circumstances change, structured around four scheduled reviews. Includes the First Sorting Appointment, the Institutional Records Pack, a maintained storage map across all physical and digital locations, reissue of the contents index after each review, secure destruction of superseded duplicates on written instruction, and a written handover pack allowing a second family member to take custody at short notice.

A plain-language reference sheet on document vocabulary is provided as general information. All activity is archival and administrative. Drafting, interpretation, witnessing, certification, filing and any dealings with institutions on a family's behalf are outside scope and are referred to appropriately qualified professionals in writing.

Documents stay in family custody

Original documents are not removed from the appointment space. At the end of each session, the physical set is returned to the family in labelled boxes.

No documents retained by Archivum

We do not hold originals or digital copies of your documents after a project closes. Digital files are provided on drives held by the family.

Professional referrals in writing

Where items call for professional input — legal advice, certification, institutional dealings — this is noted in writing with the type of qualified professional who handles it.

Personal data — PDPA compliance

Client information is handled in accordance with the Personal Data Protection Act 2010. It is used only to deliver the service.

Scope plate on every deliverable

Each contents sheet, index and note carries a brief panel stating what the work covers and what it does not, so any reader understands the limits of what has been done.
