Three situations in more detail

These accounts describe a typical sequence for each of our three services. Details have been generalised.

CASE ACCOUNT — FIRST SORTING APPOINTMENT

The situation

A family in Shah Alam had received a box of their late father's papers from his employer along with a set of folders from the family home. They could not tell whether the important documents were in one box or both, and several different family members had opened and reshuffled things in the weeks following the bereavement.

What the appointment produced

A single set of labelled boxes sorted into eight agreed categories: identity documents, property records, bank and investment papers, insurance certificates, employment records, correspondence, miscellaneous formal documents, and items to be discarded. A one-page contents sheet. A separate list noting three documents that appeared absent — two certificates and a land title — with the offices that issue each.

Duration and outcome

Two hours. The family was able to hand the labelled set to their solicitor the following week without further sorting. The missing items list directed them to two offices; both requests were completed within the month.

RM 500 — First Sorting Appointment

CASE ACCOUNT — INSTITUTIONAL RECORDS PACK

The situation

A family in Subang Jaya had gathered their papers following a bereavement but found that each institution they approached asked for documents in a different format or order. Physical copies and scanned files were stored separately on different family members' devices with inconsistent file names.

What the project produced

A printed folder organised against a general checklist, with 600dpi scans named consistently across all categories. A written contents index explaining the file naming scheme. An encrypted digital copy on a drive held by the family. The project took three weeks and fourteen working sessions across two visits.

Duration and outcome

Three weeks. Three institutions subsequently requested documents from the family; each request was met from the printed folder without the need to locate or scan additional items.

CASE ACCOUNT — RECORDS CONTINUITY PROGRAMME

The situation

A family in Petaling Jaya approached Archivum while both parents were still living. The father had a complex mix of assets acquired over several decades and the family was aware that the administrative work, when it eventually came, would be substantial. They wanted to prepare in advance without the task feeling like it carried a particular timing.

What the programme produced

An initial First Sorting Appointment followed by a Records Pack in the first month. Three further reviews over the following nine months, each resulting in a refreshed contents index and a reissued storage map noting new documents and updated locations. After eighteen months, the set was current, fully indexed and came with a handover pack for any family member who needed to take custody at short notice.

Duration and outcome

Twelve months, with a second year of the programme subsequently arranged. The family cited the handover pack as the element of most practical value: two years later, a sibling living overseas was able to navigate the entire set from the pack alone.
